Admission & Academic Standards Policy
Our principles for admitting learners, maintaining academic quality and ensuring that every learner is appropriately placed, supported and prepared to succeed.

1. Purpose
- The admission process is designed to ensure that Spark Virtual Academy admits learners whom the Academy can appropriately teach, support and assess.
- Admission considers the learner's educational needs, academic readiness, available programme, timetable capacity and the Academy's ability to provide appropriate teaching.
- The Academy seeks to maintain high academic standards by ensuring that each learner is placed in an appropriate programme and level.
- Admission does not guarantee a particular examination result, grade, promotion outcome or university placement.
- The Academy reserves the right to determine whether its programmes are suitable for a particular learner based on the information available at the time of admission.
2. Admission Eligibility and Application
- Spark Virtual Academy welcomes learners who can reasonably participate in its virtual and, where agreed, home-based learning programmes.
- Applications must be submitted by a parent, legal guardian or other person legally authorised to act on behalf of the learner.
- Parents or guardians must provide accurate and complete information during the application and admission process.
- Information requested may include the learner's age, previous school, current year level, academic records, subjects studied, examination history and other information relevant to educational placement.
- Parents or guardians must disclose any known circumstances that may materially affect the learner's ability to participate in the Academy's programme or that may require reasonable educational or safeguarding arrangements.
- The Academy may request additional documentation where necessary to verify the learner's academic history or determine an appropriate programme.
- Submission of an application does not constitute acceptance or create an obligation on the Academy to provide admission.
- The Academy may decline an application where the requested programme, subject, level, timetable or learning arrangement cannot reasonably be provided.
3. Academic Assessment and Placement
- The Academy may conduct an assessment before confirming a learner's academic placement.
- Assessment may consider the learner's knowledge, skills, literacy, numeracy, curriculum exposure and readiness for the proposed level.
- Previous school reports, examination results, certificates and other academic records may be considered alongside the Academy's own assessment.
- The Academy may recommend a different year level, subject combination, learning pace or preparatory programme where this is considered academically appropriate.
- Placement is based on the learner's demonstrated academic readiness and the requirements of the relevant curriculum rather than solely on age or the learner's previous school placement.
- Parents or guardians are expected to provide accurate academic records. Deliberately providing misleading or falsified academic information may result in admission being withdrawn.
- An assessment is intended to establish an appropriate starting point and does not represent a permanent judgement about the learner's ability.
- The Academy may review placement after enrolment if ongoing academic evidence shows that a different level or learning arrangement would better support the learner.
4. Enrolment and Confirmation of Admission
- Admission is confirmed only after the Academy has completed its required admission and placement procedures and formally communicated acceptance.
- Where applicable, admission may be conditional upon completion of required documentation, assessment, payment of applicable assessment or admission charges and confirmation of the learner's programme.
- Parents or guardians must review the applicable programme, timetable, tuition fees and school policies before confirming enrolment.
- Confirmation of admission means that the Academy has agreed to provide the stated educational programme subject to the Academy's policies and the learner's continued compliance with its requirements.
- The learner's place and timetable may be subject to teacher availability, programme capacity and operational requirements.
- Parents or guardians must provide accurate contact information and notify the Academy promptly of any material changes.
- The Academy may not be able to guarantee a particular teacher, lesson time or timetable where operational circumstances require reasonable adjustments.
- Enrolment constitutes acceptance that the learner and parent or guardian will comply with the Academy's applicable policies, academic expectations and payment requirements.
5. Academic Standards, Attendance and Learner Responsibilities
- Spark Virtual Academy is committed to maintaining high academic standards and expects every learner to participate seriously in their education.
- Learners are expected to attend scheduled lessons punctually and participate actively in learning activities.
- Learners are expected to complete assigned work, assessments, projects and other academic activities within the required timelines.
- Learners must demonstrate academic honesty and must submit their own work unless collaboration or assistance has been specifically authorised by the teacher.
- Plagiarism, cheating, impersonation, unauthorised use of artificial intelligence or other unauthorised assistance may result in academic or disciplinary action.
- Parents or guardians are responsible for ensuring that younger learners are available and prepared for scheduled virtual lessons.
- Parents or guardians should provide a suitable learning environment, appropriate learning device(s), reliable internet access and any other requirements communicated by the Academy.
- Repeated absence, lateness, failure to complete work or lack of participation may negatively affect academic progress.
- The Academy may communicate with parents or guardians where a learner's attendance, participation or academic performance requires intervention.
- Teachers are expected to maintain accurate academic records, lesson reports and assessment information to support the monitoring of learner progress.
6. Admission Decisions, Withdrawal and Termination of Enrolment
- Spark Virtual Academy reserves the right to decline admission where it reasonably determines that the requested programme or learning arrangement is unsuitable or cannot be delivered to an appropriate standard.
- The Academy may defer admission where additional assessment, documentation, safeguarding arrangements or other information is required before a decision can be made.
- The Academy may review an enrolment where circumstances materially change after admission and may recommend an alternative programme or learning arrangement where appropriate.
- The Academy may suspend or terminate enrolment in accordance with applicable enrolment terms where there is serious misconduct, persistent non-compliance with Academy requirements, material misrepresentation or circumstances that create a significant academic, operational or safeguarding concern.
- Any decision to suspend or terminate a learner's enrolment will be considered in accordance with the learner's welfare, the Academy's contractual obligations and applicable law.
- Parents or guardians wishing to withdraw a learner should notify the Academy through the designated official communication channel and comply with the applicable withdrawal and fee requirements.
- Withdrawal from the Academy does not automatically cancel outstanding financial obligations that became due under the applicable enrolment or fee agreement.
- Where a learner withdraws, the Academy will provide or make available appropriate academic records in accordance with its procedures and applicable legal requirements.
- The Academy reserves the right to protect its teachers, learners, systems, resources and academic standards when dealing with serious misconduct or persistent non-compliance.
- Admission and continued enrolment are privileges subject to the Academy's ability to provide an appropriate educational service and the learner's and parent/guardian's compliance with applicable school policies.
Policy Authority and Interpretation
- This policy forms part of Spark Virtual Academy's school governance framework.
- It should be read together with the Academy's enrolment terms, school rules and other applicable policies.
- Where this policy conflicts with a mandatory requirement of applicable Kenyan law, the legal requirement takes precedence.
- Spark Virtual Academy may review and update this policy when necessary to improve safeguarding, academic standards, administration or legal compliance.
